Lowongan kerja Secretary/sekretaris untuk ditempatkan wilayah Surabaya dengan Tugas dan tanggung jawab:

  1. Mengikuti koordinasi rutin secara periodik atau harian, bersama-sama dengan atasan (Director) untuk membahas rencana kerja harian, permasalahan, beserta solusinya.
  2. Menerima dan menghandle telepon masuk yang ditujukan untuk Director
  3. Menghubungkan telepon yang ingin dituju oleh Director dengan benar
  4. Menyusun perencanaan terkait susunan agenda Director per hari
  5. Menyusun undangan meeting internal sesuai permintaan Director
  6. Turut serta mendampingi Director dalam pelaksanaan agenda yang telah ditentukan
  7. Menjadi notulen meeting setiap rapat/agenda lain yang dihadiri oleh Director
  8. Menerima dan mendistribusikan surat masuk ataupun fax kepada pihak yang bersangkutan, serta mencatat dalam Register Surat Masuk/Keluar
  9. Mengelola kegiatan administrasi terkait kebutuhan operasional perusahaan maupun Director (misalnya: menyusun Formulir Permintaan Uang untuk pembayaran tagihan telepon, listrik, internet, iuran ruko, iuran keamanan, iuran gudang, pulsa karyawan maupun atasan, pemesanan rangkaian bunga, kue, paket dan lain-lain), serta direkap dalam Register Kesekretariatan
  10. Mengelola proses pengurusan dokumen perusahaan seperti STP Distributor, SIUP, SKA, Surat Keterangan Domisili, Surat Penunjukan Kerjasama Relasi, Bank Garansi/Surat Jaminan Penawaran, dan lain-lain), serta direkap dalam Register Dokumen Perusahaan
  11. Mengelola proses persiapan perjalanan dinas pimpinan ataupun karyawan (mulai dari pemesanan tiket pesawat, booking hotel, rental mobil, agenda kegiatan Director selama perjalanan, dan lain-lain), serta direkap dalam Register Operasional Perjalanan Dinas
  12. Mengajukan usulan atas aspek-aspek hukum kepada Director terkait dengan kegiatan operasional perusahaan
  13. Menjaga citra positif perusahaan antara lain dengan memantau atau memonitoring media cetak maupun elektronik dan menjaga hubungan dengan pihak eksternal
  14. Memantau terkait dengan isu-isu perusahaan yang beredar di masyarakat
  15. Menjamin dan memastikan perijinan terkait perusahaan lengkap, benar, up to date dan sah
  16. Melakukan filling dokumen dan merekap database dan penyimpanan dokumen asliperusahaan
  17. Menjalankan sistem operasi kerja secara aman, benar dan sesuai dengan aturan yang berlaku
  18. Memastikan dan menjamin bahwa koordinasi dengan bagian terkait telah tersusun dengan baik
  19. Memberikan usulan langkah-langkah perbaikan kearah produktifitas kerja, antara lain upaya peningkatan kinerja di bagiannya.
  20. Menjaga kebersihan, keamanan dan ketertiban kerja dan lingkungan sekitarnya.
  21. Melaksanakan tugas-tugas lain terkait dengan kepentingan perusahaan berdasar perintah dari atasan atau berdasar pertimbangan demi menjamin tercapainya sasaran perusahaan

Requirements:

Consulting with other professionals about the design of an environment
Advising the client on the practicality of their project
Producing detailed workings, drawings and specifications
Project managing and helping to coordinate the work of contractors
Regular site visits to check on progress, ensuring that the project is running on time
Resolving problems and issues that arise during construction
Controlling a project from start to finish
